VIDUTHI policies
Terms & conditions
The agreement between you and Rekoodu Technology. Written to be read — if any part of it is unclear, ask us before you agree to it.
Last updated 15 October 2026
1. Who this is between
These terms are between Rekoodu Technology (“we”, “us”) and the person or business that creates a VIDUTHI account (“you”). By creating an account you agree to them.
These terms are not legal advice and have not been drafted by a lawyer. Have them reviewed before relying on them.
2. What VIDUTHI is
VIDUTHI is software for running a hostel, PG or co-living property: rooms and beds, residents, rent invoices, payments and receipts, food and leave, electricity, complaints, staff permissions and reports. It is provided as a hosted online service, priced by usage, over the internet and through the VIDUTHI mobile applications.
We are software. We are not a party to your arrangement with your residents. We do not own, manage, let or inspect any property, we do not collect rent on your behalf, and we do not hold anyone’s money. The agreement between you and a resident is yours alone.
3. Your account
- You must be at least 18 and legally able to enter a contract.
- You are responsible for what happens under your login, including anything your staff do with the access you grant them.
- Keep your password to yourself. Tell us at once if you think someone else has it.
- The details you give us — your name, your business, your property — must be accurate and kept up to date.
4. Money
4.1 Activating an account
A new account is activated by a one-time charge of ₹1. It exists to confirm that the account is real and that your payment method works.
4.2 Plans
When the activation charge settles, your account starts on the Starter plan that same day. That day becomes your billing day each month (in a shorter month, the last day of that month). Each plan includes a number of active residents, active staff members and properties:
- Starter: ₹499 a month — 50 residents, up to 100 (₹12 each past 50); 3 staff, up to 6 (₹49 each past 3); 3 properties, up to 5 (₹199 each past 3); 100 WhatsApp messages a month.
- Growth: ₹1,299 a month — 200 residents, up to 350 (₹8 each past 200); 10 staff, up to 20 (₹39 each past 10); 6 properties, up to 9 (₹199 each past 6); 500 WhatsApp messages a month.
- Business: ₹2,499 a month — 500 residents, up to 1000 (₹5 each past 500); 25 staff, up to 50 (₹29 each past 25); 12 properties, up to 16 (₹199 each past 12); 2000 WhatsApp messages a month.
- Enterprise: ₹4,999 a month — 1000 residents, no upper limit (₹4 each past 1000); 50 staff, no upper limit (₹19 each past 50); unlimited properties; 5000 WhatsApp messages a month.
The owner account is free and never counted. In-app and push notifications are free and core modules are included in every plan. Extra residents, staff or properties are charged per month, by the day, only for the days you have them. Past a plan’s upper limit you must move to a plan that fits before adding more.
4.3 Bills and payment
- One bill a month. A bill is issued 7 days before each billing day and is due on the billing day. It carries the plan for the coming month (paid in advance) and the extras used since the previous bill. Your first bill also carries your first month on the Starter plan. Prices are in Indian rupees and exclusive of GST. Rekoodu Technology is not yet registered for GST, so no GST is charged. Once it is, GST at the rate in force (18% today) will be added to bills, and you will be told at least 30 days before the first bill that carries it.
- Changing plan. Moving to a bigger plan starts as soon as it is paid: you pay the difference for the days left in the current month, and the full difference for the next month if its bill is already paid. Moving to a smaller plan starts from a later billing day and is not refunded. You cannot upgrade while a bill is unpaid.
- Credit. Credit on your account (for example, a balance carried over from the earlier billing wallet) is used on your next bills before any GST. It is not a deposit and earns no interest.
- No automatic bank or card debits. We never charge your bank account or card automatically. Money leaves your bank only when you pay a bill.
- If a bill is not paid. You have 3 days’ grace after the due date. After that the account becomes read-only: your data stays safe and readable, but you and your staff cannot make changes. Your residents keep using the resident app. 7 days after the due date the account is suspended: your staff and your residents can no longer use VIDUTHI (residents see a notice to contact you), and you can only pay and export. Then 1 month after the due date it is closed (see section 9). We remind you before each step. Paying the bill restores full access at once.
- Price changes. We may change plan prices or limits. A change for existing customers applies from a billing day at least 30 days after we tell you, by email or inside the app. Bills already issued are never rewritten.
4.4 Your residents’ rent
Rent that your residents pay never passes through us. It goes directly to the UPI ID or bank account you configure in VIDUTHI. We never take custody of it, and we take no commission on it. Our charges are only ever for VIDUTHI itself.
4.5 Payment processing
Payments to us are processed by Cashfree Payments India Pvt. Ltd.. We do not receive or store your card, UPI or netbanking credentials.
4.6 Refunds
Refunds and cancellations are covered in the refunds & cancellations policy, which forms part of these terms.
5. Your residents’ information
You will put other people’s personal information into VIDUTHI — names, phone numbers, identity documents, payment history. For that data:
- You decide what goes in and why. In the language of the Digital Personal Data Protection Act 2023, you are the Data Fiduciary (data controller) and VIDUTHI is your Data Processor: we process it only on your instructions.
- You are responsible for having a lawful basis and, where required, consent to collect and store it.
- You must not upload anything you do not need. Identity documents in particular should only be stored if you have a reason to hold them.
What we do with that data is set out in the privacy policy.
6. What you may not do
- Use VIDUTHI for anything unlawful, or to store data you have no right to hold.
- Resell, sublicense or white-label the service without our written agreement.
- Attempt to access another organisation’s data, probe or bypass the access controls, or run automated load against the service.
- Copy, decompile or reverse-engineer the software, except as the law allows regardless of this clause.
- Upload malware, or anything designed to interfere with the service or with other customers.
If you find a security flaw, please tell us by email at viduthi@rekoodu.in rather than exploiting it. We will not pursue anyone who reports in good faith and gives us a reasonable chance to fix it.
7. Availability
We work to keep VIDUTHI available, but we do not promise uninterrupted service. Maintenance, third-party outages and events outside our control all happen. Where we can give notice of planned downtime, we will.
8. Your data is yours
You own the data you put into VIDUTHI. You can export your residents, invoices, payments and reports at any time while your account is active. We claim no ownership over it and we do not sell it.
While your account is read-only or suspended, your data stays safe and can still be exported. Once an account is closed it can no longer be used by you or your staff, so export anything you need before then. We review every closed account before deleting its data, and delete it within 90 days of closing, except records the law requires us to keep, such as our bills to you (see the privacy policy).
We may use aggregated, de-identified statistics — figures that cannot be traced to you, your property or any resident — to improve the product.
9. Ending the agreement
You may stop using VIDUTHI and close your account at any time; see the refunds & cancellations policy for what happens to unused credit.
We may suspend or close an account if a bill is left unpaid as set out in section 4.3, if these terms are breached in a way that is serious or repeated, or if we are required to by law. Except where the law prevents it, we will tell you why and give you a reasonable opportunity to export your data first.
10. Liability
VIDUTHI is provided as it is. To the extent the law allows, we are not liable for indirect or consequential loss, for lost profit or business, or for data loss where you had the ability to export and did not.
Where we are liable, our total liability for all claims in any twelve-month period is limited to the amount you paid us for VIDUTHI in that period.
Nothing here limits liability for fraud, for death or personal injury caused by negligence, or for anything else that cannot be limited by law.
11. Changes to these terms
We may update these terms. If a change materially affects you, we will email you at least 30 days before it takes effect. Continuing to use VIDUTHI after that means you accept the change; if you do not, you may close your account.
12. Governing law
These terms are governed by the laws of India. The courts at Chennai have exclusive jurisdiction.
Before going to court, please write to us — most disputes are a misunderstanding that one message resolves.
13. Reaching us
